Setting up your Meta account and granting us access

A guide to creating your Business Portfolio and ad account, then giving Fresh Digital partner access so we can get your campaigns live.

Meta Business Portfolio is the back office that holds your Facebook Page, your ad account and your customer data in one place. Seven steps, in order. Nothing here needs a developer.

Read this first This account belongs to you, not to us. You open it under your own business, then grant us partner access. We never ask for passwords, and you can revoke our access at any time from your own settings without going through us.

If you ever change agency or bring things in house, your ad history, your dataset and your audiences stay with your business.

What you need before you start

Gather these six first. Every one of them stops the process cold if it turns up missing halfway through.

  • A personal Facebook accountMeta requires a personal profile to create a business account. It is never shown publicly, and nobody at Fresh Digital can see your personal posts.
  • Two factor authenticationWithout it Meta restricts the ad account. Turn it on under Facebook Settings Password and security.
  • A business email addressThis becomes the admin contact. Use a shared company address rather than one employee's, so access survives staff changes.
  • Admin rights on your PageCheck under Page Settings Page setup Page access. If you are not an admin, request it from whoever is before you start.
  • A card enabled for international paymentsConfirm this with your bank before you start. A card blocked for international online transactions is by far the most common reason setup stalls.
  • ABN or tax ID, if applicableNeeded so Meta issues tax invoices correctly. Have the number to hand for step 4.

The seven steps

Work through these in order. Each builds on the last, and skipping ahead usually means backtracking.

  1. 1

    Create your Business Portfolio About 5 min

    Meta's container for your Page, ad account and data. You only ever need one.

    1. Go to business.facebook.com and log in with your personal Facebook account.
    2. Click Create account.
    3. Fill in three fields: your business name, your real full name, and your business email. Then submit.
    4. Open the email from Meta and click the confirmation link. Check your junk folder if it has not arrived within a few minutes.
    Watch out

    Until you confirm that email, the account stays limited and you cannot create an ad account. Meta also limits how many portfolios one Facebook profile can create, so please do not make throwaway ones to experiment with.

    Add your Facebook Page About 3 min

    1. Open Settings (the gear icon, bottom left), then Accounts Pages.
    2. Click Add and choose Add a Page. Do not choose Request access, because the Page is already yours.
    3. Search for the Page name or paste its URL, then confirm.
    4. If you have a business Instagram account, add it under Accounts Instagram accounts while you are here.
    If the add button is greyed out

    Either you are not a full Page admin, or the Page already sits inside another Business Portfolio. In the second case it has to be removed from there first. Tell us if that happens and we will talk you through it.

  3. 3

    Create the ad account About 3 min

    1. Go to Settings Accounts Ad accounts, click Add, then Create a new ad account.
    2. Give it a meaningful name, for example "ABC Co. Main Account".
    3. Set the currency and time zone that match where you operate and how you report.
    4. Select that the account is for your own business, then create it.
    This one cannot be undone

    Currency and time zone are permanent. Getting them wrong means creating an entirely new ad account, and your delivery history and the system's learning do not transfer. Double check both before you click create.

    Add a payment method About 5 min

    1. Go to Settings Billing and payments and click Add payment method.
    2. Enter the card details and a billing address that matches your bank records exactly.
    3. Add your ABN or tax ID under Business info so tax invoices are issued correctly.
    4. Set an account spending limit. Meta stops delivery automatically once that ceiling is reached, which is a useful safety net.
    If the card is declined

    The usual cause is your bank blocking international online transactions. Call the bank, have them enabled, then retry.

    Do not submit the card repeatedly. Multiple failed attempts can flag the account as suspicious, which is a slower problem to unwind than the original decline.

  5. 5

    Add a backup admin and require 2FA About 3 min

    1. Go to Settings Users People, click Add, enter a trusted colleague's email and grant admin access.
    2. Go to Settings Business info Two factor authentication and set it to required for everyone.
    Why this matters

    With only one admin, if that person's Facebook account is compromised or they leave the company, your business loses access entirely. Recovery through Meta takes weeks and is not guaranteed. Three minutes here prevents the hardest problem on this list to fix.

    Grant Fresh Digital partner access About 3 min

    1. Go to Settings Users Partners.
    2. Click Add and choose to give a partner access to your assets.
    3. Enter our Business ID, 545321679440107. You do not need to add anyone's personal email address.
    4. Assign the permissions below, then confirm.

    What we cannot see

    We only ever see the assets you assign. We cannot see your personal Facebook profile, your private messages, or your card details. You can revoke our access from that same Partners screen at any time, without telling us or asking permission.

  7. 7

    Verify your business, if Meta asks 10 min, then 1 to 5 days

    1. Meta may ask you to verify, usually at higher spend or in regulated categories. If it does not ask, skip this step.
    2. Go to Settings Business info Security Centre and start verification.
    3. Have your official company registration document ready. The name and address must match what you entered in Meta exactly.
    Tip

    Most rejections come down to a small mismatch between what is in Meta and what is on the document. A missing "Pty Ltd" is enough to fail it. Copy the text straight from the official document rather than typing it from memory.
